Tryout applications
Privacy notice
This notice explains what we do with the information you give us when you apply to try out for FIENDS. We follow the Data Protection (Bailiwick of Guernsey) Law, 2017 and, for applicants in the United Kingdom, the UK GDPR.
Who we are
FIENDS is run by David Smith, Guernsey, who is the data controller for your application and is registered with the Office of the Data Protection Authority (ODPA).

What we collect
We only accept applications from people aged 18 or over. If we receive an application from someone under 18, we delete it. Our safeguarding policy explains how we protect younger members of our community.
- Your in-game name, the game you're applying for, your tracker or profile links, and your current and peak rank.
- Your preferred roles, weekly availability and team history.
- Your age and country.
- Your email address and Discord username.
- If you apply as a team: the team name and your teammates' in-game names.
- How you heard about us, if you tell us.
- A one-way, keyed hash of your IP address, used only to stop spam and repeated submissions. We don't store your IP address itself.
While you fill in the form, your answers are saved in your own browser so you don't lose them. They stay on your device until you send the form, and they're deleted when you send it or choose “Clear saved answers”.
Why we use it
We use your information to assess your application: to check your eligibility and rank, to invite you to tryouts, and to contact you about the outcome. We don't sell it, we don't use it for marketing, and we share it only with service providers who host our website and database for us under contract, and with Discord (Discord Inc., US), which we use to alert our team when a new application arrives. That alert contains only your in-game name, game, ranks and whether you applied as an individual or a team.
Only named FIENDS staff with their own login can see applications, and we keep a log of who viewed or changed each one. That log records the application's reference number, never your details, and is deleted after 24 months.
Site analytics
We count visits to this website with Vercel Web Analytics, which uses no cookies and doesn't build a personal profile of you.
Our lawful basis
- Consent: you agree to this notice when you apply. You can withdraw consent at any time by emailing us, and we'll delete your application.
- Steps before a contract: assessing your application is a step you've asked us to take before we might offer you a player contract.
How long we keep it
If your application is unsuccessful, we delete it 12 months after you apply, so we can consider you for later tryouts in that time. If you join FIENDS, your application becomes part of your player record and we'll give you a separate notice covering it.
Staff applications
If you apply to volunteer as founding staff on fiends.gg/staff, the same controller, rights and complaint routes apply, with these differences.
- What we collect: your name or handle, email, the role(s) you chose, confirmation that you're 18 or over (we don't ask your age), the country or island you live in, your experience and any links you give us, your Rocket League rank (coach and team manager only), roughly how much time you can give, how you heard about us, and the names and contact details of two referees. We also keep a keyed hash of your IP address to stop spam, never the address itself.
- Why: to decide whether to offer you a volunteer role. We only contact your referees if you're shortlisted. Please let them know you've named them.
- Who sees it: only named FIENDS staff with their own admin login, with every view logged by reference number. Our team's Discord alert contains only your handle, the role(s) you chose and your country.
- How long we keep it: if you don't join, we delete your application 6 months after you apply. If you join, we keep it while you volunteer and delete it 12 months after you stop volunteering.
Your rights
You have the right to:
- get a copy of the information we hold about you;
- have anything inaccurate corrected;
- have your information deleted;
- withdraw your consent at any time.
To use any of these rights, email dave@fiends.gg. We'll reply within one month.
Complaints
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You can also complain to the Office of the Data Protection Authority (ODPA), the Bailiwick of Guernsey's data regulator, at odpa.gg. If you live in the UK, you can also complain to the Information Commissioner's Office at ico.org.uk.
